Do Irish Tradesmen Need Job Management Software?
Plenty of good tradespeople run their business from a phone, a notebook and memory. Some of them shouldn't. Here's a straight answer on when job management software is worth it, and when it isn't yet.

Signs you probably need it
- Enquiries come in through three or more channels (calls, texts, WhatsApp, Facebook, your website) and you've lost track of at least one this month.
- Quotes go out and you don't know which ones are still open, or you've never followed one up because you forgot who you'd quoted.
- Admin happens at night. Quotes and invoices get written up after the kids are in bed, or at the weekend.
- You have a crew and spend time each evening texting people where they're going tomorrow.
- Materials go missing from invoices. Dockets live in the van and some never get charged back.
- You don't know which jobs make money. You know the total in the bank, not which types of job are worth chasing.
- Getting paid takes chasing. You have money outstanding and no clear view of who owes what.
If three or more of those sound familiar, software will almost certainly pay for itself.
Signs you don't need it yet
It's not for everyone, and it's worth being honest about that.
- You're a sole trader doing a handful of jobs a week, almost all from repeat customers or one main contractor.
- Every job is booked and paid on the day, with no quotes or follow-up involved.
- You already have a simple system that genuinely works, and nothing slips.
If that's you, a calendar and an accounts package may be all you need for now. Come back to it when the work, the team or the number of enquiries grows.
Work out what admin is costing you
The easiest way to decide is to put a number on the time. Be honest about the evenings and weekends.
Then add the jobs you've lost to slow replies and unchased quotes.
6 × €60 = €360 a week
€360 × 48 weeks = €17,280 a year of your time
Even if software only gives you back half of that, it's a lot of money, or a lot of evenings.
What to look for if you're Irish
Most job management tools were built for the US, UK, Australia or New Zealand first. They work, but check that whatever you choose handles:
- WhatsApp and Facebook enquiries, because that's how Irish customers get in touch, not just web forms.
- Irish VAT, including the 13.5% reduced rate that covers a lot of installation and repair work.
- Eircodes and route planning, so jobs are grouped by area.
- Irish paperwork for your trade: Safe Electric certs, NC6 forms, SEAI grant documents and so on.
- Your accounts package, whether that's Sage, Xero or QuickBooks, so you're not typing invoices twice.
Off-the-shelf or set up for you?
