Quote follow-up for Irish trades

Stop losing jobs to quotes nobody chased.

You did the site visit and priced the job. Then the quote sat in someone's inbox. FlashBooked sends every quote as a link the customer can accept on their phone, then follows up by WhatsApp and text until there's a yes or a no.

The Problem

Quotes don't fail. Follow-up does.

Every trade business has a pile of quotes that were never accepted and never declined. Most of them weren't a no. Nobody followed up.

You're on the tools, not on the phone

Chasing quotes means remembering who to call while you're on another job. It's the first thing to slip in a busy week.

Customers mean to reply

Big jobs need a think. Then life gets in the way, and the installer who checks in first gets the yes.

PDFs get buried

A quote attached to an email sits under everything else in their inbox, with no easy way to say yes.

How Follow-Up Works

Polite, automatic and always on.

Most quotes aren't lost to a cheaper competitor. They're lost to silence. The customer meant to get back to you, then the week got busy, and by the time they think of it again someone else has followed up first.

The fix isn't pushier selling. It's a short, polite sequence that runs every time, so no quote depends on you remembering it at 10pm. Here's the kind of sequence most trades start with. Every step, gap and word is yours to change. (Want more wording ideas? Read our guide on how to follow up a quote without being pushy.)

An example sequence

  • Day 0, quote sent. The customer gets a link to their quote. They can read every line and accept it by typing their name.
  • Day 2, friendly check-in by WhatsApp. “Hi Sarah, just checking the quote for the consumer unit came through OK. Any questions, just reply here.”
  • Day 5, a reminder to you. If they’ve opened the quote but not accepted it, a task lands on the board to ring them. That’s the moment one conversation beats another message.
  • Day 9, a nudge by text. “Hi Sarah, we've a few dates free next fortnight if you'd like to go ahead. Happy to talk it through.”
  • Day 21, last message, then Nurture. A final note, then the enquiry moves to Nurture for a gentle check-in later instead of being forgotten.

The moment the customer replies, follow-up pauses so you can pick up the conversation yourself. When they accept, or you mark the job won or lost, it stops completely. Customers who opt out of texts or WhatsApp don't get them.

Why a link instead of a PDF?

A PDF attached to an email gets buried, and you never know if it was read. A quote link opens on any phone, shows every line clearly, can offer good, better and best options, and has an accept button right there. You're notified the moment they open it, and when they accept, they can pay the deposit there and then. The job moves to Won on your board on its own, ready to schedule.

How It Works

From quote to yes, step by step.

This is how a quote moves through FlashBooked. You decide the timings, channels and wording.

  1. Build the quote

Start from a template for the jobs you do most, with your prices and the right VAT rate.

  2. Send it as a link

The customer gets a link that opens on any phone and shows every line and the total.

  3. They open it, you know

You get a notification when they open the quote, so you can call while it's fresh in their mind.

  4. Accept and pay the deposit

They pick an option, accept by typing their name and pay the deposit. The job moves to Won automatically.

  5. Check-in

If there's no answer after a set time, a friendly WhatsApp or text goes out in your words.

  6. Call task

For bigger jobs, a reminder lands on your board to ring them, so the personal touch isn't forgotten.

  7. Won, lost or Nurture

Accepted jobs go to scheduling. Not-right-now customers go to Nurture instead of the bin.

FAQ

Straight answers.

Won't automatic follow-up annoy customers?

Not if it's done properly. The messages are short, polite and in your words, the gaps are days apart, and it stops the moment they accept or you mark the quote won or lost. Customers who opt out don't get messages.

Can I choose the timing and wording?

Yes. You decide how many steps there are, how long to wait between them, whether each one goes by WhatsApp or text, and exactly what it says.

Does it stop if the customer replies?

Yes. As soon as they reply, follow-up pauses and their message lands in your inbox, so you can take it from there. It stops completely when they accept or you mark the quote won or lost.

Will I know if they've looked at the quote?

Yes. You're notified when a customer opens their quote, so you can ring them while it's fresh, and you can see at a glance which open quotes have been read.

Can customers accept and pay a deposit online?

Yes. The quote link opens on any phone, shows every line and any options, and they accept by typing their name and pay the deposit there and then. The job moves to Won on your board automatically.

How long does a quote stay valid?

You choose. Set a validity period that suits your trade, and send a fresh link with updated prices whenever you need to.

How much does it cost?

There are three levels: Core CRM, Growth and AI Front Office. Setup is currently €0. Your monthly price depends on team size, workflows and integrations, and we agree it on the free demo before anything is set up.
